We are looking for a proactive, detail-oriented Office & Operations Associate to join our team in our New York office. This is a multifaceted, dual-focus role: you will serve as the organizational anchor of our NYC headquarters while also gaining hands-on experience working directly with our emerald inventory.
No gemstone or jewelry industry experience is required—we are committed to providing comprehensive, on-the-job training. Because this role requires direct handling of physical inventory and daily oversight of our office environment, this is a fully on-site position. What we value most is a sharp eye for detail, an organized mindset, and a genuine interest in the lifecycle of a gemstone.
Inventory Support & Merchandising
Receive hands-on training to handle, sort, and organize our inventory, including preparing stone layouts and smaller gemstone parcels.
Manage sales photos and digital assets: Audit our stone photography to identify missing images, ensure web links are functioning properly on our internal sales platform, and organize video files within our cloud storage.
Maintain meticulous organization of gemstone certificates, ensuring they are digitally filed alongside their corresponding sales photos and keeping physical certificate binders up to date.
Prep merchandising and packaging materials, keeping specialized gemstone boxes and displays fully stocked and customized for client presentations.
Office Operations & Logistics
Serve as the administrative engine for the NYC office, collaborating closely with leadership and internal teams on daily logistics and task management.
Oversee shipping and office supply inventory, tracking stock levels for high-volume shipping boxes and keeping supply closets neatly organized.
Maintain workspace standards, which includes organizing communal office areas, keeping vacant desks tidy, and assisting with the upkeep and cleanliness of our specialized laboratory/workshop.
Manage hospitality and office stock, ensuring client-facing areas are welcoming and refreshments are always ready for guests.
Our industry moves with the seasons. During our peak periods, you will be highly focused on assisting our sales team with active client requests, shipments, and show prep. During quieter periods, like the summer months, you will have a great opportunity to take complete ownership of office "housekeeping"—diving into the ongoing organizational projects, media updates, and inventory audits listed above to ensure we are perfectly prepared for our busiest seasons.
